Submission guidelines for Infostream

Required information

All submissions must include the following:

  • Intended audience - those who will be interested in the materials, eg 'all schools', 'All Government Schools', 'all southern schools'.
  • Short 1 or 2 sentence description to be used in the Infostream email. It is in your interests to provide this rather than rely on our guesswork.
  • Name of organisation or business unit supplying or authorising the information.
  • Contact name and details, such as phone number, email address, mailing address.
  • If you are asking people to supply personal information – eg. apply or register, then you need to include a Personal Information Protection Statement.
  • The document or text - the materials you'd like to distribute.

Submission format

Materials submitted to Infostream will be converted into web pages. If the quality of the supplied documents is not suitable for creating a web page, they will be returned.

Preferred formats

  • Links to materials kept on your website
  • HTML
  • Microsoft Word
  • Text files

Layout guidelines

Do...

Don't...

  • Use standard fonts throughout the document
  • Use black text on a white background - clean, crisp text is easy to read.
  • Put the important details at the beginning of your document.
  • Keep the document as brief as possible - 1 page is desirable. Remember - your document will be included with many others...your audience may not take the time to read a lots of text.
  • Use too many different fonts or those that are difficult to read.
  • Use white, grey or coloured text - the text will be lost when the document is converted to black and white.
  • Use background colours, patterns or images - the scanned or converted document will become difficult to read.
  • Use lots of pictures or images. This increases download time and may mean that big documents simply won't be looked at.

Suitability

All items must:

  • have direct educational/agency value or will assist the development of students or teachers
  • be non-political
  •  comply with departmental workplace conduct guidelines

Inclusion of notices in Infostream from external organisations will be at the discretion of the Department of Education. The Infostream service is not a vehicle for the bulk distribution of advertising material from external organisations.

Where there is uncertainty about the inclusion of an item in the General Notices, the item will be referred to the relevant Corporate Management Group member for a final decision concerning its inclusion. The item will be referred to the relevant member depending on the nature of the material and/or concern about its contents.

Jobs notices

Delivery day Monday

  • positions in other government agencies and organisations
Submission procedure Human Resources Management Branch (HRMB) handle all Expressions of Interest (EOIs) for the Department. If you'd like to promote a position within your business unit, contact HRMB Staffing & Establishment Services to discuss its inclusion in Infostream. Details can be submitted to Recruitment@education.tas.gov.au.
Submission deadline Monday 10am. Submissions received after this will go into the next week's mailing.

Department notices

Delivery day Tuesday
Audience DoE staff only
Contents
  • changes or updates in policies and procedures
  • current activities and issues involving the Department
  • training programs available
Examples Circular memoranda, advice, professional development programs for DoE staff
Submission procedure Materials must be approved by a Director or above. The Director's or Deputy Secretary's office should submit the materials by email to infostream@education.tas.gov.au

Please note: materials no longer need to be submitted to the Deputy Secretary (Corporate Services).

Submission deadline Monday 2pm. Submissions received after this will go into the next week's mailing. Requests to send out materials on other days must be agreed by the offices of the Deputy Secretaries.

Management notices

Audience DoE senior managers and Principals only
Contents
  • changes or updates in management issues
  • requests for action or response
Examples Circular memoranda, advice and briefing notes
Submission procedure Materials must be approved by a Director or above. The Director's office should submit the materials by email to infostream@education.tas.gov.au

Please note: materials no longer need to be submitted to the Deputy Secretary (Corporate Services).

General notices

Delivery day Thursday
Audience DoE staff, non-government schools and external organisations

  • activities and events of general interest
  • training events such as workshops and
  • must have relevance to education or departmental programs
Examples Educational resources, programs and activities; professional development programs; and promotion of events for students and staff
Submission procedure Materials can be sent directly to infostream@education.tas.gov.au
Submission deadline Wednesday 2pm. Submissions received after this will go into the next week's mailing.
